The demand for registration to ICNS 2025 exceeds the meeting room capacity. At this stage, new registrations will only be accepted in case of cancelation while prioritizing speakers and must attends.

Note 1: Participants in the conference who are presenting and/or publishing a paper in the technical program must register as a professional author or student author at the latest by 17 February 2025.
Note 2: While author registrations will be fully confirmed upon registration, complimentary registrations may not be confirmed until after 1 March 2025.
Note 3: The number of complimentary registrations is limited. Approval of a complimentary registration will aim to ensure appropriate representation of key categories of CNS stakeholders, such as ANSPs, airspace users, CNS industry, academia, regulators, and state officials to increase discussion and opportunities on research and technology development.
Note 4: Registration for ICNS 2025 will formally close on 3 April 2025 to allow for developing the lists for the security access to the EUROCONTROL premises.
Paper Publication
Your paper will be published by the IEEE in the ICNS Conference Proceedings. If an author will present multiple papers, each paper (EDAS paper number and title) must be identified in the registration.
Please note your registration must be completed before the paper deadline. An accepted paper will be published in the proceedings only if the registration for one of the authors is received and correctly processed by 17 February 2025.
Citizens of certain countries and territories may need a visa to visit or transit to Belgium. Please check Belgium Foreign Affairs to see if you will need a visa for your country of origin.
Letter of Presentation
If needed, a letter of presentation may be obtained only after you have completed registration for the conference. Such a letter may be needed to obtain a visa or permission to attend the meeting. If you require this letter, please email Alexis Wisdom, awisdom@conferencecatalysts.com.
The letter will be provided by email. In your email, provide the following information:
- Complete name
- Mailing address
- Accepted paper number (if applicable)
- Accepted paper title (if applicable)
- Any other details that your country of residence requires for your visa application.
Please be informed that ICNS Conference organizers cannot contact or intervene with any embassy or consulate office abroad on your behalf, so please begin your visa application process as soon as you determine that you want to attend ICNS 2025. Please provide as much information as possible to avoid delays in receiving your letter. You must register for the conference and pay in full before requesting such a letter. Bear in mind that all registrations are non-refundable.
Registration Deadline
Registration onsite will not be permitted. All registrations must be received and approved no later than 3 April to confirm participation and allow entrance into EURCONTROL. Individuals not included on the security list will not be permitted access to the EUROCONTROL premises or ICNS 2025.
